Job Description
Purpose

The purpose of the Office Administrator is to provide office support for all departments of Steelway Building Systems.

Organization Relationships

• Incoming calls from clients, prospective clients, suppliers, district managers, shipping companies and building consultants, engineers and/or architects
• Most frequent contacts in this position include customers, sales and marketing staff and other company staff
• Ensure incoming calls, orders and general inquiries are directed to the appropriate individuals within the company
• Reporting to the VP of Business Development

Accountabilities

The Office Administrator is responsible for performing the following:

  • This position requires working with minimum supervision and direction to complete administrative support
  • The incumbent establishes priorities for carrying out related duties in concert with departmental objectives and established policies and procedures.
  • Provide cross functional support to team members when required
Responsibilities

The Office Administrator is responsible for performing the following:

  • Ensure all incoming calls are handled promptly & courteously
  • Welcome visitors and provide assistance as needed
  • Manage phone calls and correspondence (emails, letters, packages, etc.)
  • Coordinate office activities to secure efficiency and compliance to company policies
  • Enter sales orders and change orders
  • Prepare and edit presentations and other related documents as required
  • Conduct research, assemble and analyze data to prepare reports
  • Follow up on various tasks and issues as identified by leaders
  • Prepare and distribute company correspondence (cards, courier packages, paystubs)
  • Assist colleagues whenever necessary
  • Perform other related duties as may be assigned

Education and experience
  • Proven experience as an office administrator, office assistant, or relevant role
  • High school diploma or equivalent, preferably completion of a relevant University/College program
  • Maintain a level of education necessary to keep pace with new technology and company requirements
